Top of the World ATV Club Meeting Minutes April 8th, 2008
There was 18 members and 2 non-members present. The meeting was called to order at 7:02pm. The Secretary’s report was read, motion made by Ed and seconded by Chad to accept the minutes. Treasurer’s report was read, Ed made the motion; it was seconded by Sharon to accept it until audited. The trail administrator’s report was read by Bob. Bob mentioned that maybe the opening of the trails should be postponed until May 3rd, and that he needs people to help put up signs. Lincoln mentioned that our signs can be put on the road signs. Helpers for signs so far are John, Chad, Lincoln, Karl and Steve, they will meet at 8am at Mooselook on April 19th. Ed mentioned putting notices like this on the board at Barnie’s Market. All agreed this was a good idea.
Old Business:
ATV Raffle- Spencer at All Around Power will work with us. We need to sell enough tickets to cover the cost of the ATV, and still make a profit. After some discussion it was decided to sell the tickets at $20 each and sell 600 tickets. Star made the motion to do this and it was seconded by Ed. There will be a picture of the ATV on the posters and website. Debbie said she would make the tickets.
Spencer will be having a customer appreciation day on May 10th or 17th. He wants the club to host a Poker run that day at Miles Pond. We could also sell memberships, t-shirts, etc. We need volunteers to help, so far we have Star, Donna, Lincoln, Bob, Chad, Donnie, Thomas, Norma, Karl, Alan, and Debbie.
For fundraisers made we could have a bounce house at Old Home Day in Lunenburg. The theme for that is pre-1980’s cartoons.
Lincoln mentioned the Kiosk’s, if we put one at Miles Pond we have to apply for a permit thru the town also go thru Act 250 and it could be expensive. Maybe we could put up a bulletin board on the shelter facing the road for both the snowmobile and ATV clubs. The foundry and car brook areas are all set, we just need the permits. It was mentioned that the Horn of the Moon might be a good spot for another Kiosk. Michael has 100 acres and is willing to let us have one there on his land also.
Breezy Meadows will receive their thank you gifts very soon. The t-shirt orders will be in soon. The website www.towatv.com is up and running. Star showed everyone the site on the computer.
April 2008 Meeting Minutes Continued
Aleta Mitchell will sign an insurance waiver for our rodeo. We need to have about 50 people to help with set up and clean up. So far we have Chad, Donnie, Alan, Thomas, Joey, Nicole for Friday and Sunday. VASA is also willing to be there and help us out. Aug. 16th will be the day for the rodeo. Please commit to helping us make this a success. When the day is closer Debbie will make flyers with the events and the times, for the events. Karl will have Dave put it on the website.
New Business:
Green Up Day is May 3rd. We will meet at the fire station here in Concord at 8am. People that volunteered so far are: Chad, Alan, John, Sharon, Rocky, Lincoln, Donna, Bob, Karl and Norma. Let Lincoln know how many bags you want and what you want for lunch. Chad made a motion that the club purchase the subs and sodas/waters for the members, it was seconded by Star. Maybe the snowmobile club will join us.
Donna talked about the Memorial Day Parade in Concord on May 26th, Everyone wanting to participate with their ATV’s need to meet at the Old Foundry at 9am to set up for the parade at 10am. We will be selling 50/50 raffle tickets, ATV raffle tickets and t-shirts at the event.
It was brought up about having to be a member of a club to ride town roads, it was voted down. The Select Board members said it was too much too soon.
Ed made a motion to leave the trail open date as it is, Doug seconded it. If any trails are too bad, we can post it with a trial closed sign. There will not be maps of the trails on the website. VASA recommends that we do not do that.
Concord High School year book- Karl was approached to sponsor a page in the yearbook. It was decided as the club we would do this every year, with one condition, it is to be on the National Honor Society page. The motion was made by Sharon and seconded by Doug.
Karl said the Select Board will be fixing up 4 cemetary’s fences and painting them. They are asking for help from us. Mike made the motion that because of everything else we are doing that we can’t really help them, it was seconded by Ed.
With no further business, the meeting adjourned at 9:10pm. Ed made the motion to adjourn, it was seconded by Star. Next meeting will be May 13th, 2008.
