Top of the World ATV Club Meeting Minutes October 14th, 2008
There were 17 members present. The Secretary’s report was read and accepted with corrections. Motion made by Ed and seconded by Dave, motion carried.
Treasurer’s report and breakdown of rodeo were read, motion made by Ed and seconded by Dave to accept until audited, motion carried.
Trail Administrator’s report was given by Bob; He mentioned that there will be a lot of work for the 2009 season, to try to get more help he brought up offering 30 hours of trail work in trade for your membership for the year. All wanting to take advantage of this offer will have to purchase their 2009 membership first then work the 30 hours of trail work once completed the 30 hours you will be reimbursed your membership fee, if it is not completed it will not be reimbursed, motion made by Sharon and seconded by Alice, this offer will exclude all officers, the motion was carried.
For trail patrol we need people to watch over our trails. He has been working on a trail patrol policy and he will continue to work on this.
Debbie is working on first aid and CPR training for the trail patrol. For trail maintenance this coming year we need to purchase a trailer to carry equipment and small amounts of gravel, etc. Kevin made the motion, it was seconded by Sharon to have Bob purchase it, motion was rescinded, new motion amended to say, to give Bob the right to look at trailers with the dollar amount not to exceed $600. The motion was carried.
Next ride in to be Friday, October 24th at 7:30pm.
Fundraiser committee not present; Lincoln will check with the committee. Lincoln gave the VASA report, the map for our trails has been turned in to VASA for updates.
The Vermont Off- Highway Vehicle Recreation Association (VORA) meeting is Oct. 25th at 9:30 at the Central Vermont Chamber of Commerce Building. Lincoln said all 2008 memberships (red stickers) have to be turned into VASA in November.
Meeting Minutes Continued
Old Business-
The kiosks need to be put up, volunteers for this will be Michael, Dustin, Bob, Lincoln, and John. They will meet at the Foundry at 9:00am on the 18th.
ATV Raffle- George Hazen from Manchester NH won the ATV, we made $1800.00 from the raffle for trail maintenance. Debbie will check on if we need to send him a 1099 tax form.
Land owner appreciation BBQ- we had 2 landowners come to our BBQ and we made $600.00 from the fundraisers there.
Annual raffle- so far we have 15 items for this. If anyone can get anymore go ahead.
Nominees for Elections- if interested in holding an office for 2009 make sure you put your name in with one of the officers so your name can be on the ballot.
New Business-
Banner will be ready soon.
Annual meeting- it was decided to have it on Saturday, Dec. 6th at 1:00pm at the Concord School Cafeteria. The motion was made by Alice and seconded by Michael. The motion was carried. The potluck meal will be at 1:00pm, and the meeting to follow at 2:00pm. After that we are all invited to Alice and Kevin’s for some winter fun.
Yearbook page- Star made a motion to continue every year with the $50.00 to sponsor the National Honor Society page in the yearbook, it was seconded by Ed, motion carried.
Ride In- Sharon has coffee for the ride, Lincoln has the coffee maker, we will eat first then go on a night ride.
Other- We will be opening another checking account just for trail maintenance. The $1800.00 from the ATV raffle along with $1500.00 from the regular checking account will be used to open this account.
There being no further business, a motion was made by Ed and seconded by Sharon to adjourn the meeting at 8:22pm, motion carried. Next meeting will be Tuesday, Nov. 11th at the Concord School cafeteria. Respectfully Submitted;
